About the role

Overview

London, SW1P 3JA
Full Time
£30,000 - £40,000 per annum, depending on experience
23 May 2025

Cygnet was established in 1988. Since then we have developed a wide range of health and social care services for young people and adults with mental health needs, acquired brain injuries, eating disorders, autism and learning disabilities within the UK.

The Systems Change Implementer will play a vital role in ensuring the successful adoption of digital systems across Cygnet’s healthcare sites. Sitting within the Project Management Office (PMO) in the Digital Services team, this role will focus on engaging frontline staff, driving change at a local level, and overcoming the unique challenges of system adoption in a diverse and complex workforce.

This role is hands-on, working closely with site-based teams, administrators, clinical staff, and operational leads to ensure that new digital systems — both clinical and non-clinical — are successfully embedded into everyday working practices. These may include:

Clinical systems (e.g., electronic patient records, prescribing systems)
Operational systems (e.g., workforce management, rostering, procurement)
HR and business systems (e.g., recruitment, learning & development, payroll)

Please note: This is a Hybrid role working 2-3 days from our Birmingham Offices

Key Responsibilities

Change Implementation & Engagement:

  • Work closely with Cygnet sites and corporate teams to drive engagement with new digital systems, ensuring smooth adoption and minimising disruption.
  • Support the change impact assessment process, helping to identify site-specific challenges and resistance points.
  • Engage with Super Users and local champions, equipping them to support adoption at their sites. Stakeholder Communication & Support:
  • Support the development and delivery of communication plans, ensuring frontline staff are aware of upcoming system changes and benefits.
  • Provide on-the-ground support to site-based teams, answering questions, addressing concerns, and gathering feedback.
  • Act as a key point of contact between the PMO, IT, and operational teams, ensuring alignment and addressing barriers to adoption.

Training & User Readiness:

  • Work closely with the IT Systems Training Lead to ensure training materials are tailored to different staff groups, including clinical teams, administrators, and operational leaders.
  • Support delivery of training sessions, particularly where site-specific engagement is needed.
  • Help assess user readiness and target additional support where teams are struggling with adoption.

Post-Go-Live Support & Continuous Improvement:

  • Assist in managing post-implementation support, ensuring that staff feel confident using new systems.
  • Monitor adoption challenges and help refine support strategies, ensuring sustained engagement beyond go-live.
  • Gather and share lessons learned from deployments to improve future system rollouts.

Key Skills & Experience Experience:

  • Experience in change management within large-scale digital transformation projects.
  • Proven experience in delivering change initiatives in healthcare, public sector, or similarly regulated industries.
  • Strong track record of driving user adoption and stakeholder engagement.
  • Experience working directly with frontline teams to understand operational challenges and tailor change approaches that address real-world user needs.

Skills:

  • Comfortable working in challenging, fast-paced environments, including frontline healthcare settings.
  • Change Management Skills: Expertise in supporting organisational change, with a basic understanding of change methodologies and tools.
  • Communication & Stakeholder Management: Exceptional communication and relationship-building skills, with the ability to influence and engage stakeholders across all levels of the organisation.
  • Training & Adoption: Experience designing and delivering user training programs for digital systems, ensuring successful adoption and long-term utilisation.
  • Problem-solving mindset, able to identify and address adoption barriers.
  • Ability to work collaboratively across IT, operations, and clinical teams.
  • Healthcare Industry Knowledge: Familiarity with healthcare-specific compliance, regulatory standards, and patient data privacy requirements (e.g., GDPR).

Preferred Qualifications:

  • Relevant certifications in change management (e.g., Prosci, APMG Change Management Practitioner) and project management (e.g., MSP. Agile, PRINCE2) are advantageous.
  • Familiarity with digital system deployments in healthcare settings.
  • Experience working within a PMO, training, or business change function

Ruth has been amazing today.
As a trainer the motorway was closed so I was 30 minutes late to the training i was running.
As soon as I walked in Ruth helped with making sure that the group had everything they needed. even finding some people who had gone to the wrong place.
With Ruth’s help i managed to get back on track with the course. thanks
