Cygnet have a fantastic opportunity for an experienced administrator to join our team as Nurse Student Coordinator Administrator.
PURPOSE AND SUMMARY OF JOB:
To support the efficient and effective functioning of the Cygnet Nursing Directorate with specific responsibility for the administrative duties involving student nurse education.
Main Duties and Responsibilities
- Manage central email, check vital student information (e.g. DBS status), distribute relevant student information to local sites, and cross-reference student information.
- Ensure the collection of tariff fees with the support of our finance team.
- Maintain up to date databases of student placements, associated finance and other identified relevant information.
- Provide a central contact point for enquires both internal and external, concerning student nurses.
- Collate and create reports on student feedback
- Support sites for on boarding of new Universities
- Effectively communicate with stakeholders as required, for example Universities, Training department, operations colleagues.
- Facilitate meetings between stakeholders timely manner.
- Assist in the management of the Head of Professional Standards and Practice diary, coordinate meetings relating to student placements and Nurse Education. Make travel arrangements and various bookings as required.
- Frequently use PowerPoint, Excel, Microsoft word, publishing programmes etc. to maintain accurate records and provide information as requested.
- Use and navigate internal systems as required.
- Take accurate minutes at meetings, distribute these in a timely fashion, and follow up action points from meetings.
- Maintain up to date record, spread sheets and relevant information, mindful of the requirements of Information Governance.
- To undertake administration duties and provide support for any projects and tasks required.
- Assist in the design and publishing of education and training documents to a professional standard.
Communication
- Effectively communicate with all stakeholders as required (internal & external).
- Produce written documents including reports and slide decks for meetings both internal and external when required.
Knowledge
- Excellent Knowledge of Microsoft Office including Word, Excel, PowerPoint and publisher or equivalent digital design programme.
- Skills
- Effective communication with stakeholders
- Exceptional organisational skills for self and others workload
- Exceptional ability to complete administrative duties
Qualifications
- Educated to GCSE level (or equivalent) with qualifications in English and Maths
- NVQ Level 2 in Administration or equivalent is desirable
Experience
- Administration experience or evidence of the same, including report preparation; organising meetings; liaising with customers/clients
- Experience of working in a Healthcare or Educational environment –desirable
- Experience in document design and visual graphics.
- Personal assistance experience – desirable
