Overview

We are looking for a dedicated Medical Secretary with a passion for making a difference to others. 

You’ll be working full time, 40 Hours a week at Cygnet Hospital Bury Dunes, helping ensure the safe and smooth running of services for the people in our care. 

Cygnet Bury Dunes provides a wide range of inpatient mental health services for men and women including specialist deaf services and emergency admission services.

Each service user has a bedroom with en suite facilities and a range of communal spaces including a gym, laundry, occupational therapy kitchen, therapy garden and woodland walkways down to the Elton Reservoir.

Your day-to-day… 

• Manage diary arrangements and prepare relevant papers for meetings,
• Organise meetings as required, taking charge of all catering arrangements and overseeing the event.
• Receive telephone enquiries/messages and ensure they are followed up as necessary, using initiative to handle and action calls or refer on to others as required.
• Type notes and take minutes for a range of meetings.
• To prepare rooms for meetings, set up equipment and ensure catering and photocopying is prepared.
• To attend ward rounds with the multi-disciplinary team and patients in attendance. To take accurate minutes, summarising discussions and noting related actions. To ensure that ward round summaries are saved in a timely manner on the electronic patient information system.
• To carry out other routine administrative tasks including scanning, photocopying and faxing information.
• To liaise with outside agencies, e.g. solicitors, community teams and other hospitals.
• To understand and demonstrate the appropriate need for discretion and confidentiality relating to all patients.

The above duties are neither exclusive nor exhaustive and the post holder may be required to undertake other duties that are within the competence of the post holder and compatible with the expectations of the post. The job description will be reviewed regularly in line with changing service requirements, and any such changes will be discussed with the post holder.

We are looking for someone who is… 

• Service orientated, with Medical Secretary experience & knowledge of mental health 
• Flexible, adaptable, organised & responsible 
• An excellent typist, preferably to RSA 2 level & with audio transcription skills 
• Calm under pressure & able to work independently & as part of a team
• A strong written & verbal communicator with excellent interpersonal skills
• Highly proficient in Microsoft Office programs, including Excel, Word and databases

Successful candidates will be required to undergo an enhanced DBS check.
